Welcome to Østfold University College's course and conference support

Course and conference support can provide assistance when courses and conferences are to be organised that include external participants. We accept room bookings continuously throughout the year, and have good technical solutions for courses and conferences.

For larger events (minimum 30 people) that include only internal participants, we can provide some administrative support.

Please provide accurate information about the date, time, room type, number of participants, need for technical equipment and contact person.


Our service offering

The following services are offered (with an environmentally conscious perspective):

  • Assistance with electronic registration
  • Assistance with booking rooms / location
  • Purchase of flowers / entertainment gifts
  • Assistance in obtaining offers for accommodation
  • Hotel booking for HiØ employees
  • Assistance with updating websites
  • Booking of transportation (ferry, bus, taxi) if needed during the event
  • Acting as host for larger international conferences with external participants
  • Digital conference folder with access to print in PDF
  • Simple name tags with the HiØ logo, which are put in a plastic folder with an HiØ ribbon such as this:

The following services are not offered: 

  • Distribution of information by e-mail to participants 
  • Booking travel to and from for participants (all types) 
  • Start of studies events 
  • Assistance with evening events regardless of the number of participants (also external)
  • Contact person for the event 
  • Ordering of catering 
  • Hotel booking for external participants
  • Booking flights for exchange (Berg Hansen) 

To-do list for planning courses and conferences

  • Set the date and duration of the course/conference. Check the event calendar to see if another event is scheduled for the same date/time. If this is the case, the course/conference must be held on a different date.
  • How many participants will there be at the course/conference?
  • Will the course/conference be physical or digital, or both? IT services need information about technical needs that must be met in connection with events in the university college's premises. Information is sent by e-mail to the IT person on duty as soon as you know the time and location of the event and no later than 14 days before the event is to be held. Read more and apply for IT support for events 
  • If you need caretaker services, e.g. power cables, furnishings, etc.:
  • If you need to access HiØ's premises outside opening hours, send an e-mail to the gatekeeper

Østfold University College has agreements with several different hotel chains. Course and conference support can obtain accommodation rates from the following hotels in connection with courses and conferences:

  • Fredriksten Hotel
