Time/date and deadlines
The course responsible can implement course changes for the coming academic year of study in the period September-December of the previous year (not the current academic year). The dean/study programme coordinator sets a deadline for when the course responsible must finalise his/her changes, but it is recommended that the work is beeing completed by 1 December.
When the course responsible has completed his/her work, the study programme coordinator must quality assure the course description, and assess the entirety and coherence of the whole programme of study before the programme and course descriptions are submitted to the director of education no later than 20 January. The director of education carries out the quality assurance of all programme descriptions before publication on the University College’s website. Course and programme descriptions that have previously been completed can be sent to the director of education throughout the revision period.
After the revision process, there are other actors and systems that will use data from the course descriptions, such as marketing, timetable planning, examinations, Canvas, Studentweb, library and bookstore. Therefore, it is important that deadlines are met.
Tools
EpN (Online course planning) is an application used for the practical implementation of course revision and in the quality assurance of this process, before course descriptions are published on the University College’s website.
Even if you are not going to make changes to a course, you must log in to EpN and send the course on to the next level.
You can find the EpN user manual and login information on the University College’s website.
Course changes
The course coordinator, the programme of study coordinator and the director of studies may make change proposals, and changes must undergo both academic and administrative quality assurance before the course description is published on the University College’s website.
Examples of changes that may be made to the course description during the revision period:
- required prerequisite knowledge
- learning outcome descriptions
- learning methods
- coursework
- assessment schemes
- literature lists
Changes to coursework and assessment schemes should be quality assured by the Section for Examinations. During revision, it is recommended that the course responsible contacts the Section for Examinations directly for advice and assistance.
Note that major changes to a course may require a new course code. If you have questions concerning this, ask your contact person in Section for educational quality.
Literature lists must be updated in the digital curriculum system; Leganto. Adjustments for the autumn semester must be made by the 15 of May, and by the 15 of November for the spring semester.
You can find more information in Guidelines to fill in programme and course description.
Reason for changes
Changes to course descriptions may occur as a result of a number of sources, such as student evaluations, previous course reports, academic development requirements, changes in laws, regulations, framework plans, national guidelines or local provisions.
All changes made to the course must be documented and must therefore be commented on in the EpN log. For example, if coursework is changed on a certain course, the course responsible must write a brief explanation stating the reason for doing so.
