Multi factor authentication

There is a requirement to use multi factor authentication for our services
This is done with the Microsoft Authenticator mobile app

Standard setup

1. Download the app

Start by downloading Microsoft Authenticator from the App Store or Google Play to your mobile.
Download for Android
Download for iPhone

2. Setup the app

  1. Go to https://office.com/login from your PC/Mac
  2. Log in with username@hiof.no and click "Next"
  3. Enter your password and click "Log in"
  4. You will now be asked to enter more information - click "Continue".
  5. When the page asking you to download the Authenticator app appears, open Microsoft Authenticator on your mobile.
  6. Click "Scan a QR code" in the mobile app and accept the request to use the camera.
  7. Click "Next" on your PC/Mac, a QR code will now appear - scan this with the mobile camera.
  8. When "Østfold University College" appears in the mobile app, click "Continue" on your PC/Mac.
  9. You will now be asked to test the app, the PC/Mac will display a number and the mobile app will request this number. Enter the number displayed on the PC/Mac in the mobile app and click "Yes" on the mobile.
  10. The PC/Mac shows that the setup is complete - you can now start using Microsoft services at Østfold University College.

3. Configure SMS login as a backup method

If you change your phone or uninstall the Authenticator app, it will stop working and you will be locked out of your account.
To avoid this, you can add SMS login to your account, so that you have the opportunity to set up the mobile app again later if problems arise.

  1. Login to https://aka.ms/mfasetup, this can be done from both PC/Mac and mobile, but the experience from PC/Mac is better than on mobile devices.
  2. Once logged in, click "Add a login method"
  3. In the dialog box that appears, select "Phone" from the drop-down menu and click "Next."
  4. Enter the country code in the drop-down menu and enter your mobile number in the field on the right, then click "Next".
  5. A code will be sent to the mobile number you have provided, enter this code in the field and click "Next".
  6. When you get a message that "SMS confirmed. The phone was registered.", click "Finish".

Non-standard setup

If you don't own a smartphone

If you do not have a smartphone, an SMS code must be used as the standard method for 2-factor.

You will often be asked to upgrade to the Microsoft Authenticator app when logging in, this is because there is higher security when using the app than SMS - these messages can be ignored if you do not have a smartphone.

  1. Go to https://office.com/login from your PC/Mac
  2. Log in with username@hiof.no and click "Next"
  3. Enter your password and click "Log in"
  4. You will now be asked to enter more information - click "Continue".
  5. When the page asking you to download the Authenticator app appears, click "I want to use another authenticator app.".
  6. In the dialog box that appears, select "Phone" from the drop-down menu and click "Next."
  7. Enter the country code in the drop-down menu and enter your mobile number in the field on the right, then click "Next".
  8. A code will be sent to the mobile number you have provided, enter this code in the field and click "Next".
  9. When you get a message that "SMS confirmed. The phone was registered.", click "Finish".

Do you wish to use another authenticator app?

If you want to use an Authenticator app other than Microsoft's, this is also supported. This has been tested by us and works with both Google Authenticator and Yubico Authenticator.

  1. Go to https://office.com/login from your PC/Mac
  2. Log in with username@hiof.no and click "Next"
  3. Enter your password and click "Log in"
  4. You will now be asked to enter more information - click "Continue".
  5. When the page asking you to download the Authenticator app appears, click "I want to use another authenticator app.".
  6. Open the authenticator app you want to use and add a new account.
  7. Click "Next" on "PC/Mac" and scan the QR code with the authentication app you want to use.
  8. If your Authenticator app does not support QR codes, you can click "Can't scan the image?" and enter the account name and secret key displayed on the screen.
  9. Click "Next" and enter the code generated by your authenticator app.
  10. When a message is shown that the app has been added, click "Finish".

When you use another authentication app, it is still recommended to add SMS login. Click on this menu above and follow the steps.

If you experience issues

My Authenticator-app does not show a notification when logging in

If the mobile app has stopped working, it is often necessary to configure it again. You can do this by following the steps below.

To solve this, login to https://aka.ms/mfasetup from PC/Mac and click "I can't use my Microsoft authenticator app right now" when it asks for app authentication and select "SMS Code".

  1. Enter the code received via SMS to log in.
  2. Then click "Delete" next to "Microsoft Authenticator" in the list that appears on the screen.
  3. Once Microsoft Authenticator is deleted from your account, click "Add a sign-in method".
  4. In the dialog box that appears, select "Authenticator app" from the drop-down menu and click "Add".
  5. When the page asking you to download the Authenticator app appears, open Microsoft Authenticator on your mobile.
  6. Click "Scan a QR code" in the mobile app and accept any request to use the camera.
  7. Click "Next" on PC/Mac, a QR code will now appear - scan this with the mobile camera.
  8. When "Østfold University College" appears in the mobile app, click on PC/Mac.
  9. You will now be asked to test the app, the PC/Mac will display a number and the mobile app will request this number. Enter the number displayed on the PC/Mac in the mobile app and click "Yes" on the mobile.
  10. PC/Mac shows that the setup is complete - the app can now be used again.

If you do not have SMS login set up on your account, contact IT vakt.

I have changed my phone and cannot log in

If the mobile you have set up 2-factor on is damaged, does not work or has been replaced, you can use the SMS code to log in and set up the app again.

To solve this, login to https://aka.ms/mfasetup from PC/Mac and click "I can't use my Microsoft authenticator app right now" when it asks for app authentication and select "SMS Code".

  1. Enter the code received via SMS to log in.
  2. Then click "Delete" next to "Microsoft Authenticator" in the list that appears on the screen.
  3. Once Microsoft Authenticator is deleted from your account, click "Add a sign-in method".
  4. In the dialog box that appears, select "Authenticator app" from the drop-down menu and click "Add".

  10. PC/Mac shows that the setup is complete - the app can now be used again.

I am currently outside of Scandinavia and cannot log in

If you are outside Scandinavia, there are restrictions on logging in.

Contact IT vakt to open up for login when you are outside the countries in which we allow 2-factor.
